Inviting an Elected Official to an Event

Council considers every invitation and endeavours to attend as many community events as possible. You will receive a response from the Office of the CAO within two weeks acknowledging your request.

Please be advised that due to  the amount of requests, we ask that you submit a request or invitation a minimum of three weeks prior to the date of the event, if possible.

Please Provide The Following Details

To invite an Elected Official to your event, please provide the information below and email caoadmin@olds.ca

  • Last Name
  • Phone Number
  • Email

Event Details:

  • Name of your Event
  • What best describes the purpose of your event?
    (e.g. Fundraiser/Networking/Service Club Meeting)
  • Name of your Organization
  • How would you describe your Organization?
  • What day is your Event? (Month, Day, Year)
  • Are there any alternate dates?
  • When does the event start? (Hour & Minute)
  • When does the event end? (Hour & Minute)
  • Is it necessary for the Elected Official to remain present for the duration of your event?
  • Event Location and Address
  • Do you have a website for your event or organization?
  • How many people are you expecting?

Speaking Requirements:

  • Do you wish for the Elected Official to speak? (Yes or No)
  • If “yes”, when would you like the Elected Official to speak? (Hour & Minute)
  • How long would you like the Elected Official to speak? (e.g. 5 minutes)
  • What would you like the Elected Official to speak about? 
  • Will there be a Q&A session? 
  • Will there be a podium? 
  • Will there be a microphone? 
  • Who will introduce the Elected Official? 
  • Will there be any other dignitaries or officials that the Town of Olds Elected Official should acknowledge in his remarks? (Yes or No)
  • If “yes”, who? (Please include names and titles)

Town of Olds Affiliation:

  • Does the Town of Olds sponsor or organize this Event? (Yes or No)

Logistics:

  • If a Town Official drives to this event, where is the best place to park?
  • What should the Elected Official wear to fit in with the crowd?
    (e.g. Business, Black Tie, Casual, Western, etc.)
  • Who will greet the Elected representative upon arrival?
  • Contact's Cell Number
  • Contact's Email

Media:

  • Are you expecting media at the event? (Yes or No)
  • If "yes", which news outlets do you expect to attend? 

Background Information:

  • Will anyone else be speaking? (Yes or No)
  • If “yes” who else will be speaking? (Please include names and titles of all speakers)
  • Will there be other dignitaries present? (Yes or No)
  • If “yes”, who? (Please include all names of Dignitaries)
  • Our Elected Officials love meeting new people. Who else will be there that he should know about
    (Please include names and titles)
  • Will the Elected Official be asked to make any presentation?
    (Please specify: Presentations may include awards certificates, etc.)
  • If this invitation is requesting a specific Council member or Mayor, and they are unable to attend, would you like the Deputy Mayor or another Council member to attend in their place?
