About the Central Alberta First Partnership

About the Opportunity
This is a contract opportunity running from July 15, 2026, to July 15, 2028, with an anticipated commitment of approximately 8–12 hours per week. Workload will vary depending on reporting deadlines, meetings, workshops, procurement activities, stakeholder engagement, and project milestones.
The total contract value is up to $65,000 over the contract term. The successful contractor will report to the Town of Olds Manager of Economic Development, in their role as Chair of the Central Alberta First Partnership, and will work closely with the CAF Steering Committee, consultants, and regional partners.
In this role, you will help keep the partnership organized, informed, and accountable. You will coordinate meetings, prepare agendas and minutes, track action items, support reporting, maintain project records, and help ensure partners have the information they need to move work forward.
What You’ll Be Doing
You will support the day-to-day administration and coordination of a regional strategy involving multiple organizations and project streams. Your work will include:
- Coordinating CAF Partnership and Steering Committee meetings, agendas, minutes, and follow-up actions.
- Managing project schedules, milestone tracking, implementation timelines, and shared documentation.
- Supporting project reporting, performance measurement, KPI tracking, and briefing materials.
- Coordinating communication among consultants, municipal partners, educational institutions, lenders, business support organizations, and regional stakeholders.
- Supporting procurement processes, consultant onboarding, contract administration, workshops, forums, and stakeholder engagement logistics.
A Day in the Life
On Monday morning, you review the CAF project timeline, check upcoming reporting dates, and confirm agenda items for the next Steering Committee meeting. You follow up with Sandra Blyth at the Town of Olds on a few action items, then update the shared project tracker so partners can see what is complete, what is pending, and where decisions are needed.
Later in the week, you may prepare meeting minutes, organize workshop logistics, request updates from consultants, or compile notes from a partner discussion into a clear project summary. You might spend one afternoon reviewing KPI information and another making sure SharePoint files, governance documents, and procurement records are easy to find and up to date.
This role is ideal for someone who enjoys independent work but also values consistent communication. You will not be doing the economic development work alone; you will be helping the right people stay connected, prepared, and accountable so the regional strategy can move forward with clarity.
Who You Are
You are a highly organized administrative or project coordination professional who can manage details without losing sight of the bigger picture. You communicate clearly, follow through reliably, and are comfortable supporting multiple partners with different schedules and priorities.
You bring:
- Experience coordinating complex projects with multiple stakeholders.
- Strong planning, time-management, documentation, and record-keeping skills.
- Experience preparing agendas, minutes, reports, briefing notes, and governance materials.
- Proficiency with Microsoft Office 365, SharePoint, Teams, and virtual collaboration tools.
- The ability to work independently while maintaining timely, professional communication.
Experience in economic development, municipal government, regional partnerships, grant-funded projects, business retention and expansion, committee administration, consultant coordination, or contract administration would be considered an asset.
